Does the sign up process require a lot of work from the institution?

No. Once we receive payment for services, we will mail your institution a packet of information. This packet includes some training materials, FAQ's, and membership code cards. Once the membership cards are distributed to students, the institution has no further responsibility. Students will use the membership codes to purchase their annual membership upon signing up. We will provide technical support to each and every user. It is that easy!

Wouldn't it be better if we just told the students to sign up on their own rather than signing up as an institution?

This is a common question among school administrators; however, there are some significant drawbacks to this option. First, when students purchase individual memberships, the school is not supplied with an administrative user. Secondly, when purchasing individually students do not benefit from the reduced rate that comes with an institutional sign up. Lastly, Time2Track was developed as a way to standardize the tracking of internship hours. Therefore, we believe it is in the best interest of the institution to make Time2Track the standard within their school. By doing so, the staff will be able to view every students' data, ensure ethical tracking, and keep programmatic statistics.

What kind of training does Time2Track offer for the students or institutions using the service?

We offer several tools that assist students in learning the Time2Track system. First, we have an extensive help section that includes over 90 frequently asked questions. Help is available for every page of the database. In addition, students can find a video tutorial within the help section. This tutorial is several minutes long and includes step by step instructions on completing various tasks within the system. When an institution signs up, they also receive a packet of training materials that can be distributed to students. Lastly, we are currently developing a comprehensive training CD. We have gone to great lengths to train students on the system. More importantly, we have worked hard to make the system intuitive and easy to use. This has been the best training tool of all!

Why can't we create our own tracking system?

It took over 18 months to develop, test, and execute the Time2Track project. The project required financial resources that would easily exceed the entire discretionary budget for most psychology programs. Furthermore, the Time2Track program was researched and designed by individuals that are intimately familiar with the field of psychology, privacy, and web design. Institutions can create their own tracking system; however, doing so requires an enormous amount of time, resources, and development. Only in extremely rare cases would the benefits outweigh the costs of developing such a system.

How often do you update your website to reflect the changes on the APPIC application (AAPI)(Doctoral Only)?

We begin integrating the new APPIC application into our website the moment it becomes available. The update is usually complete within 14 days.

Many of our students have collected hours from past practica and field experiences. Can these activities be logged in the Time2Track system?

Absolutely. The Time2Track system has many integrated features that allow students to accurately record these past experiences. We are always happy to assist students who may have questions on this process.

Your website mentions group discounts for institutional members. What exactly does that mean?

To qualify for group discounts, we must receive a single payment for services. In other words, if University Z wants to purchase 50 student memberships, they will be able to do so at a significant discount. The school can choose to purchase the memberships with department funds or pass the membership cost on to students. The amount of discount can vary depending on the number of requested memberships and the needs of the university. Email us to receive an exact quote for your institution. Do we have to purchase the administrative user separate from the student memberships?

No. An administrative user comes free with the purchase of at least 10 student memberships. This username can be distributed to any number of appropriate staff, yet, should be protected from unauthorized persons such as students or those from other departments/agencies.

If we sign our students up this year, will the membership fees go up in the future?

We cannot guarantee that the price of our service will not increase in future years. However, we do provide a not to exceed document for institutions concerned about this issue. This document clearly states that the individual membership price will not exceed x dollars over the next five years (usually no more than 20-25% of the original cost). Furthermore, schools may choose to purchase enough student memberships to last multiple years in order to lock-in a low rate and maximize discounts.

We don't have money in the budget for this program. Are there any other options?

As previously stated, our only stipulation for providing a group discount is that we receive a single payment for services rendered. The institution may decide who will bear the actual cost of the memberships. The school may choose to include the fees in the annual budget, collect payment from students, or build the fees into annual tuition.

My institution might be interested in purchasing Time2Track services. Where do we go from here?

First, we encourage you to contact us so we can provide you with an exact quote for the desired number of memberships. This is also good time to ask any additional questions, address concerns, etc. Then once we receive payment we will mail you all of the materials and instructions that your students need for a successful transition to the Time2Track system.
